Subscribe

You can subscribe to visualizations you have access to and schedule them to be sent by email or to a network path (on-premise only) in your preferred format. You can also use this dialog to send a visualization to external recipients who need to view it promptly but do not have access to Nectari.

This feature is available for Views, Dashboards, and Reports.

When to use Subscribe

  • Receiving regular updates: Stay up to date with visualizations that change over time.
  • Sharing with external recipients: Share visualizations with stakeholders who don't use Nectari but need the information promptly.
  • Automating report delivery: Deliver visualizations at regular intervals without manual intervention.
  • Choosing a delivery format: Select PDF, Excel, HTML, or other formats based on your preferences.
  • Improving convenience: Receive visualizations directly by email or through a network path, so you don't need to log in to Nectari.

Subscribe to a visualization

There are two ways to subscribe to a visualization:

From the context menu in the Navigation Panel

  1. Locate the visualization you want to subscribe to.
  2. Right-click the visualization.
  3. Select Subscribe from the context menu.
  4. In the dialog, fill out the required information to subscribe and schedule the visualization delivery.
  5. Select Subscribe, or close the dialog to cancel the subscription.
    Subscribing creates a dedicated job visible to the Administrator (or users with Distribution permission) in the Distribution list.

From the Toolbar while the visualization is open

  1. Locate the visualization you want to subscribe to.
  2. Double-click it or select Open from the context menu.
  3. Click the Sharing icon in the Toolbar panel on the right. It expands to show the submenu options.
  4. Select Subscribe from the menu.
  5. In the dialog, fill out the required information to subscribe and schedule the visualization delivery.
  6. Select Subscribe, or close the dialog to cancel the subscription.
    Subscribing creates a dedicated job visible to the Administrator (or users with Distribution permission) in the Distribution list.

Unsubscribe from a visualization

From the context menu in the Navigation Panel

  1. Locate the visualization you want to unsubscribe from.
  2. Right-click the visualization.
  3. Select Subscribe from the context menu.
  4. Click Unsubscribe.
    When you unsubscribe from a visualization, the job is removed from the Distribution list.

From the Toolbar while the visualization is open

  1. Locate the visualization you want to unsubscribe from.
  2. Double-click or select Open from the context menu.
  3. Click the Sharing icon in the Toolbar panel on the right. It expands to show the submenu options.
  4. Select Subscribe from the menu.
  5. Click Unsubscribe.
    When you unsubscribe from a visualization, the job is removed from the Distribution list.

Customize the visualization name

  1. Right-click the visualization.
  2. Select Subscribe from the context menu.
  3. Click the pencil icon next to View Properties.
  4. Enable the toggle next to Custom Name.
  5. Enter a name for the visualization output in the text box. You can assign names in different languages by using the translation icon next to the text box.
    You can include Global Variables and Special Variables, for example: Invoice by Customer @@CURYEAR Period @@UDM_CURPER.

Add and customize a filter

Create a filter

  1. Right-click the visualization.
  2. Select Subscribe from the context menu.
  3. Click the pencil icon next to View Properties.
  4. At the bottom of the dialog, click the + button. This opens the Restriction Editor dialog, which lets you create filters based on Global Parameters.
  5. Choose a Global Parameter from the list to use as a filter.
  6. Select an operator to define the filter criteria.
  7. Specify the values to include in the results.
  8. Click Validate to check the syntax (optional).
  9. Click Confirm to create the filter.
  10. Click Confirm in View Properties to apply the changes.

Edit an existing filter

  1. Right-click the visualization.
  2. Select Subscribe from the context menu.
  3. Click the pencil icon next to View Properties. At the bottom of the dialog, a list of filters appears.
  4. Click the pencil icon next to the filter you want to edit. This opens the Restriction Editor dialog.
  5. Update the filter as needed.
  6. Click Validate to check the syntax (optional).
  7. Click Confirm to update the filter.
  8. Click Confirm in View Properties to apply the changes.

Delete an existing filter

  1. Right-click the visualization.
  2. Select Subscribe from the context menu.
  3. Click the pencil icon next to View Properties. At the bottom of the dialog, a list of filters appears.
  4. Click the X icon to the right of the filter you want to remove. This deletes the filter from the list.
  5. Click Confirm in View Properties to update the filters.

Subscribe properties

General

The General tab defines the basic properties and settings of a subscription, allowing you to control how, where, and what data is included in the output of the visualization.

PropertyDescription
DescriptionDescribes the current subscription and helps identify the job in the main Distribution job list for the administrator. You can translate this field using the Translation dialog.
ActionDetermines how the visualization will be delivered. Options include:

  • Export and Email – Executes the visualization and sends it to the user's email.
  • Export and Save on Network Drive – Executes the visualization and pushes it to the network path. If the folder doesn't exist, it is created automatically.
  • Export to External Location – Executes the visualization and sends it to an external location configured in the system.
StatusEnables or disables the subscription.
SubscriberIdentifies the user who subscribed to the visualization. Helps the administrator identify who created the job on the Distribution page.
View PropertiesOpens a dialog that lets you customize how the visualization is executed. You can rename the exported file, choose the format, and specify which data to include.

View Properties for Worksheets, Charts, Reports, Dashboards

PropertyDescription
Custom NameWhen enabled, allows you to customize the output file name. You can enter a custom name, add multilingual translations, and use Global Variables or Special Variables to make the name dynamic.
Note:
  • If a file with the specified name already exists, it will be overwritten.
  • Windows file names do not allow these characters: \ / : | < > * ?. If any of these characters are present in the custom name, the distribution job will fail.
  • Uppercase and lowercase letters (A-Z, a-z), numbers (0-9), and the underscore (_) symbol cannot be placed immediately after a Global Variable name.
  • Global Variables and Special Variables are resolved based on the default environment only: Admin for On-Premise, and ADMCA for Cloud.
Follow the steps to customize the name for the generated report.
FormatSelect the format to receive the visualization. Available options:

  • PDF
  • Excel(.xlsx)
  • Excel(.xls) (Worksheets, Reports only)
  • XML (Worksheets only)
  • CSV (Worksheets only)
  • PNG (Chart types, Dashboards only)
  • External Link
EnvironmentSelect the environment from which the data will be retrieved. Only environments you have permission to access will be listed.
Apply to Filtering PanelsAvailable for Dashboards only. By default, filters apply to all visualizations. When enabled, filters apply only to Filtering Panels that use the assigned Global Parameters. Useful when different views require separate filters instead of shared ones across the dashboard.
Reporting TreeAvailable when selecting Excel(.xls), or Excel(.xlsx). Generates a separate visualization for each distributable Reporting Tree node. This option takes priority, even if filters are set. Use it when you want detailed analysis of each value (node from Reporting Tree) while maintaining hierarchy.
Execute Stored Procedure (if exists)If the data model includes a stored procedure, you can run it before generating the output. Useful when data must be refreshed or manipulated through the stored procedure each time it is viewed.
FiltersUse this grid to apply filters based on Global Parameters. You can add multiple filters, which are combined using an AND condition. Follow the steps to define a filter.

Other Recipients

The Other Recipients tab allows you to manage additional recipients who may not have an account in Nectari but still need to receive a configured visualization by email.

PropertyDescription
ToEnter the email addresses of the primary recipients who should receive the visualization.
CcEnter the email addresses of recipients who should receive a copy of the message, but are not primary recipients. It stands for Carbon Copy.
BccEnter the email addresses of recipients who should receive a copy of the message without their addresses being visible to others. It stands for Blind Carbon Copy.

Email

The Email tab enables you to personalize the email content that accompanies the visualization.

PropertyDescription
SubjectEnter the subject line of the email. You can write it in multiple languages using the Translation icon located to the right of the text box. Global Variables and Special Variables such as ##CurrentUser can be used to make the subject dynamic.
DescriptionEnter additional context or details to include in the body of the email. This content can also be written in multiple languages using the Translation icon. Global Variables and Special Variables such as ##CurrentUser can be used to make the message dynamic.

Schedule

The Schedule tab lets you configure how frequently you receive the visualization, specify the delivery time, and set an end date for receiving it.

Settings

Set the frequency using the following options:

OnceDelivers the visualization once based on your settings.

  • Start On – Choose the specific date for delivery.
  • At / From – Choose a fixed time (At) or a time range (From…until) with defined delivery intervals (in minutes).
DailyDelivers the visualization on a daily basis based on your settings.

  • Start On – Choose the specific date for delivery.
  • At / From – Choose a fixed time (At) or a time range (From…until) with defined delivery intervals (in minutes).
  • Recur every X days – Set the number of days (1–31) between deliveries, for example, every 20th day.
WeeklyDelivers the visualization on a weekly basis based on your settings.

  • Start On – Choose the specific date for delivery.
  • At / From – Choose a fixed time (At) or a time range (From…until) with defined delivery intervals (in minutes).
  • Recur every X weeks on – Choose how many weeks (1–52) between deliveries and the specific day(s) of the week to receive it. You can also enable the Everyday toggle for daily delivery.
MonthlyDelivers the visualization on a monthly basis based on your settings.

  • Start On – Choose the specific date for delivery.
  • At / From – Choose a fixed time (At) or a time range (From…until) with defined delivery intervals (in minutes).
  • Months – Select specific months for delivery or enable the Every Month toggle.
  • Days / On – Choose a specific day of the month for delivery or enable the Everyday toggle for daily delivery. Alternatively, you can use the On option to specify the First, Second, Third, Fourth, or Last occurrence of a particular weekday. Multiple occurrences can be selected.

Advanced Settings

For the Daily, Weekly, and Monthly options, you can set an expiration date and time to stop receiving visualizations from this subscription.
