Prompt / Quick Prompt

Prompt and Quick Prompt help you select values from a dimension and apply them as filters in your formulas or extractions.

Only dimensions that have a prompt defined in the data model will appear as options in the Prompt or Quick Prompt dialog.

When to use Prompt

  • Filtering data for a specific item: Choose a single value like a salesperson, customer, or product to focus your analysis.
  • Comparing multiple values: Select several dimension values to analyze side by side.
  • Avoiding manual entry: Use the prompt tools instead of typing values manually into your formula.
  • Working with long value lists: Use search, filter, and sort tools to find what you need in large datasets.
  • Viewing details before selecting: See additional fields like codes or descriptions before applying a filter.

Use Prompt

  1. In the Add-ins tab, select Prompt.
  2. In the dialog, select the reference pointing to the data model where the prompt is defined. Dimensions with prompts appear in a list.
  3. Select the dimension you want to prompt.
  4. Select OK to load the available values.
  5. In the Available list:
    • Use Add Highlighted or Add All to move values to the Selected list.
    • Use Remove Highlighted or Remove All to move values back.
    • Use Sort, Search, or Filter tools to find specific values.
  6. Select OK to close the dialog. The selected values are inserted as a comma-separated list into the active cell.
  7. If you reopen the Prompt for the same cell, your previous selections appear for easy updating.

Use Quick Prompt

  1. In the Add-ins tab, select Quick Prompt.
  2. In the dialog, select the reference pointing to the data model where the prompt is defined. Dimensions with prompts appear in a list.
  3. Select the dimension you want to prompt.
  4. Select the value you want to use.
    Use Sort, Search, or Filter tools to find specific values.
  5. Select OK to close the dialog. The selected value is inserted into the active cell.
  6. When reopening the Quick Prompt for the same cell, the dialog displays the current values so you can update as needed.
